Training Coordinator 

Position Summary

The Training Coordinator is responsible for directing the training and development efforts to help maximize the potential of the Firm’s employees.  The Training Coordinator develops new training programs and/or recommends vendor training programs that will meet the specific training needs of different areas of the Firm.  The duties for this position include, but are not limited to:

Job Functions

  • Ensures prompt responses to user inquiries and the efficient resolution of user problems.
  • Assists with information gathering and communication with customers to help resolve escalated issues.
  • Monitors the call tracking and automated call distribution technology to ensure maximum efficiency and effectiveness.
  • Acts as a technical resource to resolve the most complex user problems.
  • Develops a curriculum for the Firm (core technologies plus specialized applications).
  • Develops effective lesson plans targeting legal and support staff.
  • Identifies, with the Training Coordinator, training needs of the Firm.
  • Introduces technology to improve the quality and availability of training.
  • Acts as a training resource for the Firm and Training Coordinator.
  • Participates in the development and implementation of IT objectives and the resolution of operational issues.

Qualifications

  • Bachelors degree.
  • 2-4 years experience in performing training in a legal environment.
  • Proven ability to develop and train staff.
  • Demonstrated ability to set priorities and complete diverse assignments on a timely basis.
  • Superior oral and written communication skills.

Physical Requirements

  • Must have minimal physical mobility and the ability to operate equipment such as a computer and copy machine.
  • Must have the ability to communicate clearly.
  • Must have the ability to prepare assorted documents and other related materials.
  • Must have the ability to work in stressful conditions under time deadlines.

Director of Professional Development

Position Summary

The Director of Professional Development is a critical role within the firm.  The goal of this individual will be to create a first-rate professional development program that will help associates become better lawyers and add more value to the firm’s clients, as well as assist in developing the next generation of partners and leaders within the firm.

Reporting to the firm’s Co-Managing Partners, the Director of Professional Development will develop and manage all aspects of the firm’s associate training and development programs.  In collaboration with other members of the senior management team and firm and department leadership, this individual will design and implement comprehensive orientation, training and mentoring programs, as well as propose evaluation and compensation strategies that ensure the growth and advancement of the associates.  He/she will advise firm management on strategies that will continue to foster open and honest communications, as well as a culture of respect and inclusion.  This individual will ensure that all programs are aligned to the dynamic and changing business needs of the firm and its clients, as well as develop mechanisms for measuring and monitoring their effectiveness.  He/she will also serve as an individual advisor to associates regarding issues related to their ongoing professional development and partnership advancement.  It is imperative that this individual balance the need to develop and maintain trust with the associates while also acting on behalf of senior management.

The Director of Professional Development will be an integral member of several firm committees, including the Associates’ Committee, the Diversity and Women's Implementation Committees and the Operating Committee.  He/she will be responsible for preparing and managing the Professional Development budget as well as directing the activities of other staff members under his/her supervision.

Position Requirements

The Director of Professional Development will be an experienced professional with a minimum of 8-10 years of relevant experience.  The ideal candidate for this position will preferably have functioned as the lead professional development individual in a law firm or other professional services organization and will possess solid functional expertise in all facets of professional development and training.  The ideal candidate will have demonstrated success working in a matrix or dual-reporting environment, and ideally will have worked in a partnership structure.  The successful individual will have outstanding written and verbal communications abilities.  This individual must possess the ability to have direct and candid conversations that are sometimes difficult or sensitive in nature, as well as act with the highest level of discretion.  He/she must also have a demonstrated track record of achieving results in a demanding environment.  A JD or other related advanced degree is highly preferred.

Billing Coordinator

Position Summary

In a fast-paced team setting, this individual is responsible for coordinating a wide range of billing activities for approximately 20 attorneys under moderate supervision and tight deadlines.

Job Duties

  • Utilizes the billing system to generate, review and distribute pro-formas to assigned attorneys.
  • Transfers and/or splits recorded time entries between clients and matters.
  • Edits time narratives to reflect attorney changes.
  • Processes time and fee write downs (discounts).
  • Transfers and/or splits ancillaries and disbursements between matters.
  • Processes ancillary and disbursement write downs (discounts).
  • Researches ancillary and disbursement charge questions; provide back-up as needed.
  • Generates, reviews and distributes invoices.
  • Edits invoices to reflect attorney changes.
  • Generates standard cover letters for bill mailings.
  • Answers attorney questions with respect to billing (in person, on phone, in e-mail) and assists attorneys with other related questions by determining the correct internal resources.
  • Initiates periodic follow up meetings with attorneys to ensure that needs are being met and billing deadlines are met.
  • May be asked to review the work of other Billing Coordinators to ensure quality of work standards are being met.
  • Ensures fee and cost rate adjustments and exceptions are accurately reflected in all processed bills.
  • Prepares billing reconciliations (time, cost, fees, etc.).
  • Generates billing reports (worked, billed, discounted, etc.)
  • Apply cash (checks, wires, internal transfers).
  • Bill off of invoices and trust revenues
  • Apply unallocated funds, and funds held on-account
  • Assist in close and report generation/decollation activities
  • Works overtime as needed, or when requested to do so with advance notice.

Qualifications

  • Bachelor’s degree preferred.
  • Noted ability to maintain departmental and team standards in a deadline driven environment.
  • Strong overall technical aptitude including knowledge all MS Office applications, email, and Elite experience preferred.
  • Ability to work independently while at the same time working as a team member in the department.
  • Strong customer service skills.
  • Strong attention to detail with a demonstrated ability to establish priorities and complete diverse assignments on a timely basis.
  • Superior verbal and written communication skills and the ability to interact with all levels of personnel in a professional and courteous manner. Must have a strong work ethic and the willingness to work additional hours as needed.
